Currently expanding to the United States, we’re looking for our new Office Assistant. Could you be one of them?

Main goals of this role:

  • Enable growth with strong culture. Optimize work environment and ensure good working atmosphere.
  • Ensure smooth onboarding and that all employees are well-equipped to carry out their tasks.
  • Execute various operational projects, e.g. vendor selection, quality management, reporting etc.

Tasks and responsibilities:

  • Enable growth with strong culture. There are a few things unique about Exponea and one of them is our culture. We believe that the only way to truly enable growth is by taking care of our people.
  • Organize office operations and procedures (new locations & moving, layout & seating, equipment) and optimize work environment.
  • Ensure local office legal compliance, including health & safety compliance.
  • Ensure smooth onboarding of new employees, support their business travel, resolve employee queries and organise for birthday gifts.
  • Manage local operational expenses.
  • Maintain administrative and databases, handle office supplies and correspondence.
  • Coordinate vendor procurement and maintain relationships with vendors, service providers and landlords.
  • Provide general support to visitors.
  • Implement procedural and policy changes to improve operational efficiency.
  • Be a local culture champion, maintain employee benefits and organise smaller team events.

What we expect of the candidate:

  • Great communication skills with an approachable demeanor. You know everyone’s name and can quickly build bonds with everyone in the office.
  • 1+ years of prior office management and facilities experience (in a start-up a plus!) and the ability to collaborate effectively with other operational heads in other offices.
  • Exceptional organizational and multitasking skills while meeting deadlines and priorities.
  • Must be willing to roll-up your sleeves and focus on fast execution.
  • Creativity in social and fun activities that drive positivity in line with our culture.
  • Proactive approach to identifying improvements that can be made.
  • Up-to-date knowledge of Health & Safety Regulations.
  • Diligent budget and vendor relations management.
  • Knowledge of Outlook, Word, Excel, and PowerPoint.

  • Knowledge of local office suppliers a plus.
